What information do we collect?

Depending on your relationship with us, we may process:

We generally use business contact details. Information about an organisation is covered by this policy where it identifies an individual. We do not ask you to provide sensitive personal data.

Where does the information come from?

We may collect personal data from:

  • You directly, through quotation requests, website forms, emails, meetings, events, job applications and other contact.
  • Public professional sources, including company websites, professional networking sites, public registers, industry directories, event information and published research.
  • Business contact data providers, used to research organisations, find relevant professional contacts and verify business contact details.
  • Your device and interactions, when you visit our websites or interact with tracked communications.
  • Distributors and other business partners, where they refer an enquiry or share information relevant to a business relationship.

How do we use your information?

We use personal data for the following purposes:

  • Enquiries and business relationships: answering questions, arranging meetings, preparing quotations and keeping in touch with relevant contacts.
  • Orders, delivery and support: processing purchases, providing products and services, and handling technical support.
  • Marketing and prospecting: identifying relevant organisations and contacts, and communicating about our products, services and events where permitted.
  • Website and campaign measurement: understanding website use, assessing communications, measuring conversions and improving advertising.

In our customer database, your name, organisation and department help us identify the right contact and delivery destination. Your email address is used for quotations, order confirmations and related correspondence. Your telephone number allows us to follow up on enquiries, orders or support requests.

What legal bases do we rely on?

For enquiries, support and relationships with people representing organisations, we rely on our legitimate interest in managing our business relationships. For a contract directly with you, we rely on performing it or taking steps you request before entering into it.

For relevant business prospecting where permitted, our legitimate interest is promoting our products and developing business relationships. We assess professional relevance using business information and must balance this interest against your rights and reasonable expectations. For marketing subscriptions, tracking and advertising data sharing, we rely on consent where requested or required, as explained below.

Accounting records are processed to meet legal obligations. Job applications are used to assess candidates and take steps towards a potential employment contract. We may also process information for our legitimate interest in establishing, exercising or defending legal claims.

Can you ask us to stop marketing to you?

Yes. You can object to direct marketing at any time by replying to an email, using an unsubscribe link where provided or contacting marketing@bpcinstruments.com. We will stop using your data for direct marketing. We may retain a minimal record of your objection so we do not contact you again.

How do we use cookies and email tracking?

We use Cookiebot to manage website cookie choices, Google Analytics 4 for analytics, Google Ads for advertising and campaign measurement, and HubSpot for website activity and communications. Where a visitor can be identified, website activity may be linked to a HubSpot contact record to help us understand interests and follow up enquiries.

Some marketing and individual sales emails record openings and link clicks to help us evaluate communications and inform follow-up. Tracking is not used in every email. Consent is the legal basis for non-essential cookies and other tracking where required by applicable law.

Who do we share information with?

We use service providers for CRM, email, office services, hosting, analytics, advertising, contact research and outreach. They receive information needed for those services. HubSpot is our CRM and communications platform; research and outreach providers may change. We share contact identifiers, such as email addresses, and conversion events from HubSpot with Google Ads to match advertising audiences, personalise advertising, measure conversions and optimise campaigns. We rely on consent where required for these uses.

We may share relevant information with distributors, service partners and professional advisers to handle enquiries, provide products or services, or manage our business. Information may also be disclosed where required by law or necessary for legal claims. We do not sell personal data.

Some providers or partners may process data outside the EU and EEA. Transfers must be covered by an applicable adequacy decision or appropriate safeguards, such as the European Commission’s Standard Contractual Clauses, with additional measures where needed. How long do we keep your information?

For business contact records, we determine retention by considering whether there is an ongoing enquiry, a credible purchasing project, a customer relationship or a continuing support need. We also consider the time since meaningful contact and whether the person still holds a relevant role. We review these records at least annually and delete or anonymise data when it is no longer needed, unless retention is justified for another lawful purpose. We handle marketing objections promptly and remove data we identify as no longer needed without waiting for the annual review.

Accounting records are retained for the statutory period, generally seven years under Swedish law. Minimal suppression records may be kept as long as needed to respect marketing objections. Cookie lifetimes are given in the cookie information.

What rights do you have?

Subject to applicable conditions, you can request access, correction, erasure, restriction or portability of your data and object to processing based on legitimate interests. The right to object to direct marketing is unconditional. Withdrawing consent does not affect processing already carried out lawfully.

We normally respond to rights requests within one month and explain any permitted extension within that month.
